Return and Cancellation Policy

CoverRave strives to make sure you are confident and happy with your purchases. If for any reason you are unsatisfied with our product or services please contact us and let us know. We will do our best to work with you on finding a solution that will improve your cover.


Due to the client’s need for personalization on all products and services, returns and cancelations are limited based on the type of product or service purchased.

  • Premades are final sale at point of purchase and cannot be returned or cancelled.
  • Event and Giveaway Products are final sale once files are sent to the client. Clients can cancel the product or service any time before the final files are sent to them. No cancellation fees or replacements will be issued on products that are cancelled. Monetary refunds will not be issues on products that the client was given without charge.
  • Custom Sales are final sale once all final payments are completed. Cancellation of custom services and products are subject to a cancellation fee. Please review your contract for further details.
  • Third Party Products and Purchases are subject to the third party’s rules on refunds and cancellation and the above category they fit best. Please message us if you are unsure where it best fits.

Product FAQ

Can I get an ebook cover now and a paperback or audio book cover later?

Yes you can, however be aware that this will count as two individual packages and be priced accordingly. So, it is a better value to you having both done at the same time.


Can I get a file without text included to it?

Yes. You can either ask for a design without text as your over all product or you can pay an additional fee for a non-text version included in your packet


Do I have an unlimited number of uses for my cover?

Usually, there is a limit to the number of uses a cover can have. Most stock sites allow between 100,000-500,000 covers before licensing needs to be repurchased. To know your exact amount review all the licensing documents included in your final packet. The lowest number listed is your allowed count. Also, be aware an e-book cover and online audio counts as one use to your count no matter how many covers are downloaded. Any printed covers and physical audio covers counts as one use per printed book/audio.


What happens to the Custom Design proofs that I do not accept when my custom Cover design is made?

Unclaimed Proofs are property of the designer and may be converted into a premade or offered to others at any time. Your Book's personal information will not be used in the alternative use. If you prefer the covers not be available to others they can be purchased at an additional fee. Fees are usually stated in your contract.


Can I make giveaway or sale items (like t-shirts, stickers, mousepads, pins, etc) with the book cover I purchased?

With the cover purchased, the only use of the design can be for book covers. Other products are not covered by within the purchase agreement.

You can ask about purchasing the additional right to use the design for a single product. However, be aware it will be quite expensive. A different type of licensing is required for product usage with any stock images used in the cover. Stock sites price them between $100-500 per image. The cost will equal the rate of a custom design cost plus the cost of all extended licensing. Designs generally use anywhere between 1-10 stock images, with the average being about 5-6. Contact us if you would like to know an exact price for your cover ($300 is the minimium possible)


I did not get a PSD file in packet. Is this a mistake?

This is not a mistake. When purchasing your cover you are purchasing the use of the cover, not the design itself. It is similar in concept to leasing something. Purchasing a PSD file is most often not allowed because of licensing rules image sites have on source files that makes them unable to be transferred to others in any raw form, like a PSD.


What do I do once I have used all my allowed print uses for my cover?

Congratulations on the sales!!! You can choose to repurchase the licensing agreements and refresh the count for your book. Contact us to find out the pricing and options available for this.


I am looking for a new designer to continue my series. Will you match their work?

Generally, a designers layout and concept is considered part of their ownership as a designer. To have another designer, like us, duplicate their concept and layout will require the designer's direct permission to do so. Please have the designer email us so we can discuss what is being approved.


I need a new cover to my series and cannot find/get in contact with my old designer. What do I do?

Without another designer's permission to duplicate their work we will not make a matching cover. Instead, contact us about the details of your issue and we will see what can be worked out to create a new series design for you that would best fit your budget.


My designer said my cover is done but I do not have the file yet. Why not?

Files are sent only after payments are made in full. Usually Files will be sent within 24 hours of payment being received if done Monday- Thursday & on Monday if sent on Friday. If you have made all payments and more than the time frame has passed please contact us to review what is happening.


What is a licensing agreement?

This is approval given by an owner of a product that allows another person to use said product for their own profit intent. You are getting a licensing agreement from a designer for their art when you pay for a book cover design. Likewise, designers often have licensing agreements they comply with for use of stock images and content used in their design. Usually, this indirectly affect you as well as it often comes with a limited use on images purchased licensing agreements from third parties should be included in your final packet and the designer's licensing agreement is included with the contract. Please see a sample of a Service Contract for further details.

Scheduling FAQ

What do I need to do for the designer to start my cover?

The most important thing a designer needs from you to start the design is a general idea of the cover concept you want them to create. It should be a brief description that gives them an idea of what elements to look for. Your description should be about the characters and environment the story happens in and what mood you want represented most. Recreating a story scene is not what readers look for, nor expect. So, think in terms of if you wrote a general character or environment description. For example: a dark haired man and Latina woman with curly hair on a beach at sunset, season is summer. Location is Florida, Gulf of Mexico coast. mood tender
The more detailed you focus on the less likely a design will fit the needs of the readers and means it can struggle to sell well or match your genre. Plus, it will lack any creative talent from you designer, and after all that is the point to hiring out design work. An example of too much: a dark haired man wearing blue swim shorts and a puka necklace with his hair like Chris Pine in Wonder Woman, and 6 foot tall. A Latina woman with shoulder length curly hair styled like Selena Gomez in A Rainy Day in New York wearing a red and yellow bikini that is not a string or too skimpy. She is 5 foot 3 inches, with medium breasts, and plush hips. They should hold hands while walking on the beach facing right. The sunset should be pink and purple with the sun in the left corner. Nothing should be on the water. There should be lifeguard chair in the distance with no lifeguard or anyone on the beach. The couple’s foot prints should be seen in the sand for a long distance behind them, and no other footprints. The beach should be of Sarasota, Florida in late June. A dolphin in the water is optional.


I don’t know what I want and it is almost time for my cover to be made. What should I do?

Ah! yeah, without direction your designer will not be able to start work. Best thing you can do at this time is start to look at other covers in your target genre and start making a collection of ones you really like. When you feel like you have a good amount of covers to review go back and make a list of common elements covers have (i.e. couple/man/woman, sunset/day/night, holding hands/kissing/cuddling, clothed/shirtless/partially undressed, etc.) make a tally for each instance you find in the covers you picked. Once you have been through all those covers look back at what has the most tallies. You will likely want to present one or a combination of those concepts to your designer since those are a popular taste for you. From there you include a few details that are stable to your book, like the season, location, character ethnicity, hair and eye color.


When should I schedule work for my cover?

It is generally a good idea to schedule your cover design when you are 3-6 months from release date. Most designers have schedules that fill up months in advance. However, it is still worth Contacting Us if you are needing a sooner time frame. Cancellations and delays are part of the business and you may find we have an opportunity that fits you in. A rush fee may apply in some instances but is not common for this.


I bought a premade series do I need to schedule all the covers for a text update at the same times?

You do not need to schedule all covers at the same time. You can schedule per cover as needed.


How long does it take to make my cover?

Time frames can vary, but from start to finish it is a good idea to plan on a 2-3 week time frame, however, generally, you will receive a finished product within 5-7 work days. Having the extra time allows you not be rushed through a review of the project and to fill gaps in communication (especially common if there are time zone variations) and other issues that may occur. The shortest time frame work can be completed is 1 weeks. Neither of us will have a choice on what the final time frame is. That naturally occurs from the process based on the amount of detailed work required, the speed of communication, and what kind of revisions with be asked for. So, please don’t plan on asking for a set time frame unless you are in a crunch and are willing to pay a rush fee.


What is your cancellation policy?

All projects can be cancelled before they are completed. Canceling before work starts will cost the price of your retainer fee. Cancelling during the start of work will cost a cancellation fee and the retainer fee. Retainer fees will be waived for either situation if you reschedule and have a contract finalized within 30 days of cancelling. Cancellation fees are not able to be waived.

Pricing FAQ

I am in need of several covers for a series (3+). Can I get a discount?

Usually yes, however it is best to contact us with complete details to know the kind of discount available and how it will apply. Covers may need to be completed at the same time for some discounts.

Do you offer Payment plans?

Payment plans are not an option at this time.


What am I buying with my cover purchase/promotional items?

You are purchasing the right to use the design for your book cover or promotional item. This is not a purchase of ownership for the design itself. Design ownership is maintained by the designer. Contracts and packages will cover this in more detail.


How do I make a bookmark fit the Promo Item pricing?

For a bookmark to be counted as a Promo Item pricing it needs to double as business card. As a business card it becomes a marketing item and not a product. At minimum business cards require the author’s name and contact information on it. Other images and information are optional. Businesses cards can be sized as needed if you don’t want a standard 3.5 x 2 in.


What is your refund policy?

For premades all sales are final at point of purchase. Refunds will only be considered 90 days from purchase date if there is an issue preventing the designer from completing the text change.
For custom work:

  • the $50 retainer fee paid when you schedule work is none refundable if a project is cancelled by the Client, If the job is being rescheduled it can roll over to the new time. Review your contract for more details.
  • the 50% paid at the start of a project can be refunded before the project is completed, minus a $50 cancellation fee. This is not the same fee as the retainer fee. So, over all $100 will be paid between the two.
  • the final payment is non refundable.

When do I have to pay for work?

For premades payment is made from the store at the time you check out.
For custom projects payment is staggered.

  • $50 is required at the point you sign a contract and schedule your work to be done.
  • 50% of the remaining price is due at the start of your scheduled time, before work starts.
  • The remaining amount will be due when the project is complete.
  • If your booking is less than $50 full payment will be due at the time of scheduling and no further payments will be owed.

Example break down for a $250 package:
– $50 retaining fee due at scheduling.
– $100 due at start of work.
– $100 due at end of work.


Is the retainer fee and the cancellation fee the same thing?

No. These are separate fees. Please see the question about the refund policy and your contract for more details.


Is the retainer fee included in the packaging prices.

Yes. pricing includes the $50 retainer fee.


Can I upgrade my package after signing my contract.

Yes. You can upgrade at any time before a design is complete. If done you will be sent your contract again with an addendum changing the package option within it. Only the difference in pricing between the packages will be added to your cover with half that difference due at the signing of the addendum or start of work, which ever is the latter. No service work will be done on the additional service work until payment and addendum are completed. Please also expect this to add time to how long service work will be completed.


What additional fees might show on my bill?

These are additional services fees that you can add to your bill.

  • Cancellation fee ($50) – a fee charged for discontinuing work after it has started.
  • Rush fee (starting at $100) – a fee charged to work that require time crunches for the client’s needs.
  • Promotional product fee (starting at $35) – a fee charged for an advertisement design, like facebook or instagram add, website banner, etc.
  • Custom File fee (starting at $50) – a fee charged for a non-traditional file, like a text free file.
  • Concept fee ($50) – a fee charged for the purchase of additional concepts (that are uncompleted works)
  • Adjustment fee (starting at $25 hr) – a fee charged for adjustments not covered by a purchase or service contract: i.e text swap or color swap on premades, etc.
  • Consultation fee ($50 per hour) – a fee charged for evaluations and help on personal work (commonly for other designers)
  • Services fee ($50 per hour) – a fee charged for extended service work (commonly for design needs that extend beyond the contract limits or for premades needing changes)

Sample Contract

This agreement is made as of (date) between Amanda Valentine of CoverRave (“Designer”) and _____(Your Name)_____ (“Author, Client”) for the purpose of designing and creating a book cover (eBook, Audiobook, &/or Print) (“Work” or “Book”). The Client and Designer may be referred to herein individually as a “Party” or collectively as the “Parties”. This contract is entered into in good faith. Upon signature by the Parties indicates acceptance of this contract and the terms described herein.

Product Content

Premade Services:

Premade Design payments are due in full at the time of purchase of the premade version and before the final version is started.

All Premade Design sales are final at point of purchase.

 

Custom Services:

Please see service plans for options, process, and pricing. Clients are purchasing a design that will either be the Designers concept in full or an interpretation of the Clients concept based on the Designers understanding and available resources. They will not be purchasing their concept developed in detail by the Designer. Time frames and dates will be detailed in the contract both parties sign before starting the project. An estimate of pricing will be provided before a contract is signed. Estimates are subject to change as needed.

Additional fees that can occur outside the service pricing include. A $50 termination fee. A $35 concept fee for all rough drafts purchased or extra concept, $30 hr fee for edits not covered by the service package, $35 for a non-text design version, $20 text swap, $35 marketing material, $30 per hour consultation fee for communication extensions beyond what is provided by service, the difference of another service price if you upgrade to a higher service plan, A $50 termination fee or for down grading a service package after start of service, variable amounts available upon request for special requests and services needing more than offered services (i.e. commercial licensing on images, request for specific images, touch ups or revamps of completed and delivered projects, etc.)

To ensure satisfaction, clients can request up to one additional quick-rough concept design to be considered if none of the original versions are considered acceptable. The last design must be accepted or purchased as a concept piece at $35 if the artist chooses to continue with one of the original concepts shown or none at all. If none of these concepts are considered acceptable and the artist is unwilling to continue further with concepts the project will be considered cancelled. All Payments made for the project will be returned except the $50 cancellation fee and the $50 retainer fee.

 

Ownership:

The Designer maintains the copyrights of all designs, sketches, and concepts worked and/or completed.

Client is purchasing exclusive licensing to display and use the final project (one design) for their book packaging (i.e. book covers) and other promotional or packaging materials paid services offer. Final product will be received in condensed form in PDF, jpeg, or other publish ready file format. Client will not receive the raw files or raw source imagery, particularly where licensing rules of sourced content forbid transfer.

The Client does not have the rights to any other designs or concepts seen or shared within the process, unless they purchase the display rights to more. Availability of concept rights and other mock ups is subject to change at any point after the client chooses their preferred rough draft. The Designer has the right to use any rejected or unpurchased files as they choose, including offering to other clients or completing as a Premade Design.

The Client can request proof of purchase or location of where sourced imagery was obtained at any time during the services. Proof of final purchases will also be included in the final package received by the client. Clients can request a flattened, non-text version of the final project added to their final package for an additional fee.

 

Responsibilities:

The Designer is responsible for obtaining all proper rights or licenses for all images used in creation of the Work, does not infringe any copyright, privacy rights, or legal rights of a third party, does not contain unlawful material, and it is the creator of work completed. 

The Client is responsible for following all source file licensing requirements once final product is complete, received, and/or in the control of the Client. This includes all images and fonts. Image source files will be obtained from depositphotoes.com under their Standard Licensing, therendershop.com, kickassrenderstock.com, or unique work done by the Designer that that does not require 3rd party licensing regulations. Font licensing will be included in the READ ME file in your final package and sourced from the service or person(s) font was obtained from. Font sources considered public domain will be noted as such that may or may not include a licensing file. In cases where no licensing files exist, another form of proof will be provided as proof to the legal use of the font (i.e. news articles form reputable sources, public statements of release by designer or design company, etc.)

Requests for any other licensing types or renewal of licensing are the responsibility of the Client to purchase, monitor, and all other legal requirements, which can be done from the source site directly and/or the Designer. Known contact for the designer and source sites will be provided in the final package.

The Designer nor CoverRave is not responsible for maintaining contact information of any source service or person(s) past the delivery of the final project. The Client may ask for any known corrections at any point of need, however CoverRave will only provide information at the company’s discretion or direct the Client to public resources that might help supply need information. Google will likely be your fastest solution.

The Client may not edit, reuse, or change the final product in any way without written consent from CoverRave, that includes an authentic signature from personnel authorizes to approve the alteration of past works. Signatures will be considered authentic only if they have been created by a hand using an appropriate writing instrument that has longevity and permanence (i.e. pen on paper, digital pen in email)

The Designer acknowledges they have no legal rights or claims to the written book or content used to develop its story line.

 

File Preservation:

CoverRave guarantees to store the final raw files for up to 4 years from the date of project completion. Should a file in the possession of a Designer or CoverRave be lost or damaged the Designer will recreate the file at no cost to the Client.

 

Confidentiality:

Parties have the responsibility to treat all information shared within the service as confidential. No content can be shared outside the two parties without valid written consent from both parties. Written consent will be considered valid in one of the following forms: a typed or written documentation signed or e-signed by both parties that stipulates what information can be released when, a private messaging transcripts, from addresses, phone numbers, and/or accounts known to belong to one of Parties that dictates what information can be shared and when with affirmative agreement receive by both parties (i.e. emails, text messages, Facebook messenger, etc.), a recorded voice message from phone number known to belong to parties or can be reasonably identified as being shared between parties.

A Designer or Client reserves the right to refuse a request to share the design with outside parties at any point in the creation process. No reason why needs to exist. All Parties must respect the request. Clients and Designers cannot post or show concept art to outside parties until a version is chosen by the Client. Only the one concept accepted can be shared to outside parties and only if both parties agree to allow it to be shared. Failure to comply with privacy regulations can result in termination of project without refund if the Client is at fault or a new design at no extra cost if the Designer is at fault. 

 

Designer Display Rights

Designers reserve the right to display designs and concepts within their portfolios, social media, or other self-promotion and business development needs. To protect an Author’s branding all Custom purchases will be subject to a 6 month hold or until the Client’s book is publicly revealed, whichever comes first, before being displayed publicly by the Designer. Premade Designs will be subject for a 3 month release on the version involving the Client’s text information, or until the book is publicly revealed. The Premade Designs of the sale version (image that it hosted while for sale) will have no restrictions on when they are able to be shared by the Designer.

 

 

Privacy

Information stored by CoverRave and/or designers are considered confidential to the company and parties involved. Information will no be sold or shared outside the company without Client consent. The Designer has limited authorization that includes access to contact information to utilize for the sole intent of communication and/or delivery of paid work and fees. CoverRave uses stored information for the sole intent of communications, collection on services, general account management needs, and other resources the Client has authorized use on (i.e. newsletters, sales notifications, ratings and recommendations, etc.)

 

Terms and Conditions

 

Clients are expected to and should read all of the source files provided with final documentation. 
Unclear points and information are the responsibility of the Client to be cleared up 
to the point of complete understanding with the service or business that defined the licensing terms. 
CoverRave will help with the process as much as they can.

 

Custom Services and Products

  • All covers are uniquely designed by the designer and exclusive to one buyer.
  • Services must be scheduled and have contracts signed a minimum of one month in advance of service start date. Failure to meet requirement may cause scheduled service to be bumped, rescheduled, or cancelled.
  • All purchases are subject to their signed contract and Read Me file in their final packet. All clients agree to read and follow the contract terms by scheduling services, signing a contract, and/or buying products.
  • Most products will come with non negotiable sales limits defined by third party product/service suppliers. All customers agree to follow those limits and are responsible for tracking them as well as notifying the designer when or if the limits are reached. Limits are listed in the Read Me file. The designer is responsible to ensure limits are fair and reasonable for the author.
  • Files will be sent only after services or products are paid in full. Product received is a high resolution jpeg file.
  • Early termination or cancellations are subject to non refundable fees. Please review the Help FAQ for details on amounts and how they can be repurposed.
  • Final payments are non refundable once files are sent.
  • Please tribute coverrave.com in your book for making your cover

Premade Services and Products

Basics On Understanding Licensing Conditions

  • Many source files (images and fonts) will have a limit of how many items can be sold of the single licensing purchase. This is defined by a third part business and cannot be changed by the designer or author. Most of depositphotos.com is on a 500,000 product count. Other sites can have different amounts and a single product can have content from various locations. Your Read Me file will identify where images are supplied from and where to find licensing terms. The lowest number your sourced images show is the number or items you can sell before having to upgrade the licensing rights to each source item. For example if one source says 500,000 and another says 30,000 sales per month an author is limited to selling 30,000 per month until 500,000 copies in total are sold.
  • Fonts that are considered public domain are available for use by anyone for any usage. for example, all fonts found at google fonts are public domain and free use with unlimited counts for any use.  Like wise there are standard fonts that come with computer purchases that are also free use. All fonts will be marked with information that defines where it was sources and if it will be limited. Check each font’s licensing included in your Read Me file to know how this applies to your final design.
  • Standard and General License types with photos do not usually cover usage for physical products (i.e. content that is sold or given away to earn you money or that change the insurable value of a basic product: swag, gifts, clothing, convention booth items). Book covers are considered packaging with the book being your physical product, ads are marketing material. Most often Standard or General licensing is all that is required for packaging and marketing material. Contact us to learn specific options to your needs or existing content. 
  • An Extended License would be required for content outside a cover design or non-standard marketing that a Client might want to use the design for. A Client must also purchase the rights to the final design for use in an area other than the services paid for. (i.e. you paid for a book cover but want to make t-shirts you will have to purchase the rights for t-shirt usage from the Designer in addition to the Book Cover(s) purchase, Pricing will vary based on number of extended licensing needed and work completed on the new product. Generally, it is very expensive. Bookmarks have conditions that can make them marketing material rather than a product. Marketing Materials use standard licensing rules and will be priced as a Promo Item if it qualifies under a standard Licensing Agreement. Please review the Pricing FAQ sections to learn more.
  • These bullets are not to be considered complete information about licensing or override any information provided by the sources site about their licensing rules or Ream Me files and contracts. These bullets are simply for reference to help a Client understand what details are possible that will impact their use of the product in a significant way. This Privacy policy will explain how our organization uses the personal data we collect from you when you use CoverRave and coverrave.com. If you are asked for information it will only be used for the purposed outlined here.

 

Reasons Data Is Collected:

  • To customize product or create customized product
  • To bill or collect payments due
  • To respond to client informational requests or communicate with the client during a service process
  • To enroll or register a person for special events, promotions, and communications
  • enable functions on the site that require personal information such as a user account and billing/purchasing

What Kind of Data We Collect:

  • Our company collects your name, email address, sales history, site usage information important to complete your project, information to complete a giveaway, promotion, or reward earned, and site visitation activity.
  • A third party site will collect name, birthday month and year, email address, banking account, or credit card information for completing sales. Third party sites used include Paypal, Stripe, Mailerlite, and Mailchimp

 

How We Collect Your Data:

You directly provide CoverRave with most of the data we collect. We collect data and process data when you:

  • Register for an account online, contact us through an email, sign up for our newsletter, gift or, promotion, or place an order for any of our products or services.
  • Use or view our website via your browser’s cookies.

 

Our company may also receive your data indirectly from Paypal, Stripe, Mailerlite, Mailchimp, and Gmail.

 

How We Use Your Data:

  • To process purchases and billing or bill collection
  • To process taxes and tax authority requests.
  • To manage your account.
  • Email you with business communications, special offers, and notices on products we believe you will like.
  • Email you to completed services and products, resolve issues or communication needs, schedule services, provide information on request, and delivery of final product.
  • To record your agreements to terms, policies, contracts, and services requests.

 

CoverRave will share your data with Paypal or Stripe to complete sales and send billing.

When CoverRave processes your order, it may send your data to, and also use the resulting information from, credit reference agencies to prevent fraudulent purchases.

 

How We Store Your Data:

CoverRave securely stores your data at Hostgator data centers located in the United States of America.

 

CoverRave will keep your email, name, and sales data until a customer requests their information to be deleted, an account is identified as harmful, or is inactive for an unnatural amount of time by CoverRave.

Stored personal data will be deleted by a staff member of CoverRave manually deleting information from Hostgator servers and sending a request for removal to third party services (Paypal, Mailerlite, Stripe, or Mailchimp) the client participated with.

 

Marketing:

Our company would like to send you information about products and services of ours that we think you might like. We do not share your information for marketing purposes with any other business. If you sign up for the mailing list you agree to receive marketing form CoverRave only. An unsubscribe option will be available in each communication to opt out at any time.

You have the right to at any time to stop CoverRave from contacting you for marketing purposes.
